3. Personal data
The form includes full name, email, arrival and departure dates, number of guests, accommodation preference and an optional message. When you send an email, the property also receives the sender’s address, content and any attachments. The hosting infrastructure may process IP addresses, timestamps, requested resources and browser information to operate and secure the service. Do not include identity documents, payment details or health information in the form.
4. How enquiries work
The form opens your email application with a prepared message. It does not automatically send an enquiry, confirm a booking or collect payment. Pit Stop receives the message only when you send it from your email app. The website code does not save form fields in a database, cookies or persistent browser storage. Your email app and browser autofill may handle information according to their own settings.
“Copy enquiry” copies the text to your device clipboard at your request without sending it to the property. The text also remains visible on the page for manual selection if automatic copying is unavailable. Clipboard handling depends on your device.
5. Purposes and legal bases
Enquiry data is used to reply, check availability and prepare a quote, based on steps taken at your request before entering into a contract (Article 6(1)(b) GDPR). Processing required by law is based on Article 6(1)(c). Any necessary processing to prevent abuse or defend rights relies on the legitimate interest in security and protecting rights (Article 6(1)(f)), subject to necessity and your rights. The form does not provide newsletters, marketing, profiling or automated decisions.
6. Providing information
Contacting us is optional. Required fields are needed to prepare a complete enquiry; the additional message is optional. Without contact details and essential information, we may be unable to reply or quote. Marketing consent is not required to receive a response.
7. Recipients and handling
The controller and authorised people handle enquiries using IT and communication tools. Email, hosting and technical support providers may process data within their assignments, as processors where applicable or independent controllers for their own activities. Authorities or advisers may receive data where necessary for legal obligations or protecting rights. Enquiry data is not published on the website.
8. Retention
Enquiries are retained for the time needed to reply, prepare a quote and manage the follow-up, until the enquiry has been dealt with. Data forming part of a booking or required for legal obligations or protecting rights is retained for the relevant purposes and periods. Technical data follows the operational and security needs of the service. You may contact the controller for information about the retention of your data.
9. Hosting and international transfers
